Photo/video Consent Agreement. By registering to the Chess Cardinals tournaments, participants, caregivers & parents grant full permission to Chess Cardinals to use photographs, video- and/or audio-recordings of them, and/or their children, taken during Chess Cardinals events in publications, news releases, online, and in other communications related to the mission of Chess Cardinals. To ensure the privacy of individuals and children, images will not be identified using personal identifying information without written approval from the photographed subject, parent or legal guardian. A person attending a Chess Cardinals event who does not wish to have their image recorded for distribution should make their wishes known to the organizer in writing of his/her intentions and include a photograph. Chess Cardinals will use the photo for identification purposes and will hold it in confidence. No registrants and/or participants are entitled to compensation for their appearance in such materials. By registering, you also grant Chess Cardinals and US Chess Federation the right to lawfully use the photos on its website, social media sites, e-newsletters, and other public media which such use shall be considered commercial use for promotion and advertising. You also release Chess Cardinals and US Chess Federation from any claims related to the use of the photos, recordings, or interviews, including claims of libel or invasion of privacy. You understand that Chess Cardinals retain ownership of the materials and may use them now or in the future for the purposes mentioned above. All registrants and participants release and discharge Chess Cardinals from all liability, losses, and damages for libel, slander, invasion of privacy or any other claim arising out of or relating to the use of videotapes, recordings and/or photographs.

Chess Cardinals Safeplay Agreement: Chess Cardinals expects its players to embody the values of fair play, good sportsmanship, honesty, and respect for others, as outlined in the US Chess Official Rules and Code of Ethics. Chess Cardinals strives to cultivate a positive and secure environment for all participants. To ensure appropriate conduct, especially during break time between tournament rounds when parental supervision is required, all involved parties (players, spectators, and accompanying individuals) must adhere to the following guidelines:

Adherence to Chess Standards: Participants are expected to follow the official US Chess rules and ethical guidelines, prioritizing fair play, sportsmanship, honesty, and respect.

Zero Tolerance for Bullying: Any form of bullying, whether physical or emotional, will result in immediate and decisive action. Chess Cardinals is dedicated to providing a safe space for everyone.

Respect for Authority: Disrespectful behavior towards coaches, tournament directors, staff, or volunteers acting on behalf of Chess Cardinals or the facility will not be tolerated.

Appropriate Language: All communication must be respectful and free of profanity or offensive remarks, regardless of intent.

Safety Awareness: Participants are responsible for their own safety and the safety of others, including walking, supervised exits for minors, and refraining from roughhousing.

Prohibited Items: Loud music on computer, phone or any handheld devices, Drugs, alcohol, and weapons are strictly forbidden at all Chess Cardinals events.

Facility Respect: Participants must comply with facility rules and treat all equipment and areas with respect. Players or their guardians will be held responsible for any damages resulting from code violations.

Additional Policies: Be aware that Chess Cardinals also adheres to the US Chess Safe Play Policy, which will be posted on the Chess Club premises for public reference.

Incident Management:

Chess Cardinal staff, including coaches and tournament directors, will address code violations immediately and report them to the Senior Tournament director or Board members of Chess Cardinals.

The Board will handle each incident individually, ensuring all parties are heard and outlining potential consequences for repeated offenses. Chess Cardinals does not employ a fixed, tiered consequence system and each offense will be treated based on its severity and impact on the smooth conduct of tournament or chess events at the club.

Consequences may include, but are not limited to, forfeiture of a game, warnings, probation, suspension, or expulsion without refund.

Players retain the right to utilize US Chess Ethics Committee procedures if they believe an incident falls under their jurisdiction and are dissatisfied with Chess Cardinals handling of the matter.

By registering for a Chess Cardinals tournament, the participant (and their parent or legal guardian, if the participant is a minor) acknowledges and agrees that Chess Cardinals, its organizers, directors, staff, and volunteers are not responsible or liable for any actions, behavior, injuries, losses, or damages that are outside of our direct control. This includes, but is not limited to, a participant acting irresponsibly, leaving the event area without permission, or engaging in unsafe or inappropriate behavior. Responsibility for a participant’s conduct remains with the participant and, where applicable, their parent or legal guardian.
